Digitization in a nutshell
Digital questionnaires & consent forms
for a faster patient admission process
400+ documents signed digitally each year
handled as part of everyday patient care
Wacom signature pads
for fast and easy signing at reception
Digital document storage
through eHramba.si
Less physical archiving
resulting in more usable space in the practice
Greater data security
for sensitive patient documentation
The challenge
In a dental practice, documentation is not just an administrative formality. It is an important part of providing safe, high-quality and traceable patient care.
Before implementing BetrSign, document management involved many manual steps. Patients filled out questionnaires, signed consent forms and submitted other documents in paper form. The team then had to review, organize, physically store and retrieve these documents when needed.
This way of working was time-consuming, space-intensive and less transparent. Paper documentation required physical archives, manual sorting and additional care when handling sensitive personal and health data.
For a practice focused on providing a modern, professional and well-organized patient experience, digitization was the natural next step.
What they were looking for
The practice was not simply looking for an electronic signature solution as they needed a way to modernize the entire administrative side of patient care.
The solution would need to enable:
- digital completion and signing of patient documents,
- less paperwork at reception,
- faster patient admission,
- secure handling of sensitive documentation,
- simple on-site signing,
- less need for physical archives,
- digital storage of signed documents,
- smooth integration into the daily workflow of the practice.

“Digital signing has taken a lot of routine paperwork off our team’s hands, giving them more time to focus on patients and other important work. It's just great.”

The solution
With BetrSign, the practice digitized the key documents patients complete and sign as part of their dental care.
Documentation is prepared in digital form, while patients can sign it directly at reception using a Wacom signature pad. This allows the practice to maintain personal contact with patients while removing the need to print, manually store and physically archive documents.
Signed documents are stored electronically. Since the practice also uses eHramba.si, digital storage is structured, traceable and suitable for documentation that requires a high level of security, confidentiality and accessibility.
Processes included
The practice uses BetrSign primarily for documents created in direct communication with patients, such as:
- health and administrative questionnaires,
- consent forms for procedures,
- data processing consent forms,
- documents related to patient treatment,
- other documentation patients complete or sign during their visit.
Because patients sign the documents at reception, the process remains simple and intuitive, even for those who are not used to digital tools. Instead of paper, printers and archive folders, the entire process is managed digitally, from signing to storage.
Results
Routine patient documentation is now handled digitally, reducing manual work at reception.
The team spends less time managing paper documents, while faster digital workflows reduce the administrative burden on daily patient care.
Digitization reduced the need for paper documentation and physical archives. That means fewer folders, fewer cabinets and more usable space in the practice.
Documents are stored digitally, making them easier to access, search and manage.
Sensitive patient data is now stored digitally, improving security, reducing the risk of lost documents and ensuring greater discretion.
Patients complete and sign documents digitally, directly at reception. The process is fast, clear and aligned with modern standards of care patients expect in healthcare.
