The challenge
With more than 1,200 employees, physical signing became too slow and too time-consuming.
Before introducing BetrSign, the HR and legal department had to:
- prepare documents,
- print them in multiple copies,
- physically send them via delivery service or bring them to signers,
- manually track statuses,
- collect signed copies,
- archive them in paper form.
Processes were often dependent on the physical presence of employees and signers. This caused delays, made document tracking more difficult and increased the risk of errors or lost documentation.
With 267 job vacancies in one year, ongoing recruitment and replacement needs, and a large number of HR documents, the traditional way of working was no longer sustainable in the long term.
What they were looking for
SBMS was not looking only for an electronic signature, but for a solution that would simplify the entire document management process.
It was important that the solution would enable:
- less paper-based work,
- less manual coordination of signatures,
- simple use for different groups of employees,
- fast implementation,
- adaptation to HR and legal processes,
- traceable management of large volumes of documents,
- the possibility of integration with existing HR systems.
“The goal of digitalization is not only to reduce administrative work and paper use, but above all to establish a more efficient, more transparent and less time-consuming work system for employees and the HR department.”

The solution
With BetrSign, documents are prepared in the HR information system or as standalone PDF or Word documents, then sent electronically to employees for signing through the BetrSign web portal.
Once the signing process is completed, the documentation is automatically distributed to email addresses and archived in the appropriate digital folders.
This reduced the need for printing, physically moving documents and manually tracking signatures.
When personal contact is needed, for example during onboarding, when signing more complex contracts or when additional explanations are required, employees can still sign on signature tablets, which also has its advantages.
Which processes are included
BetrSign is used mainly for HR and legal documents, such as:
- agreements on increased workload,
- related decisions,
- contracts with external collaborators,
- employment contracts for new hires,
- more complex HR contracts,
- promotion annexes,
-
other HR and legal procedures.
A particularly large volume comes from promotions in the public sector, where annexes must be prepared and signed by employees twice a year. With more than 1,200 employees, this process represented a major organizational challenge in physical form and is now supported through mass document sending, BetrSign Bulk Send .
Results
SBMS now electronically signs more than 700 documents per month and expects this volume to continue increasing.
There is less printing, less moving of documents between departments, less manual tracking of signatures and less paper archiving.
Documents reach signers electronically, which means they are mostly signed and archived on the same day.
The team can more easily track where each document is, who has already signed it and what is still pending.
Signed documentation is distributed and archived digitally, improving visibility, security and document accessibility.
Processes continue even when signers are not physically present in the HR department offices.
Simplify document signing in your organization
BetrSign helps teams reduce manual work, speed up document signing and gain better visibility over the entire process.
